Terms of Service
These terms govern every repair, diagnostic, and installation service we provide at Vintech Engineering Solutions. Please read them before dropping off your device or vehicle.
Agreement to These Terms
By dropping off a device or vehicle at Vintech Engineering Solutions, requesting a repair or diagnosis by phone or in person, or accepting a repair estimate from us, you agree to be bound by these Terms of Service.
These terms form a binding agreement between you (“the Customer”) and Vintech Engineering Solutions (“Vintech”, “we”, “us”). They apply to all services provided at our Ngara workshop and any work performed on-site at your vehicle or premises by arrangement.
If you do not agree with any part of these terms, please do not leave a device with us. You are welcome to ask us any questions before proceeding with a repair.

Device Drop-Off and Intake
When you leave a device or vehicle with us, you confirm that:
- You are the legal owner of the device or vehicle, or you have written authorisation from the owner to have it repaired.
- The device or vehicle is not subject to any dispute, court order, or third-party claim.
- You have disclosed all known faults and relevant history to us at intake.
- You have removed or secured any valuables from the vehicle before leaving it with us.
- You have noted the condition of the device or vehicle at the time of drop-off.
We will issue a job card or intake receipt for every device dropped off. Please keep this receipt — it is required for collection.
Vintech is not responsible for any pre-existing damage, loss of accessories, or pre-existing faults that were not disclosed or recorded at intake. If no intake form is issued, ask our technician to record the device condition before leaving it.
Repair Process and Estimates
Our standard repair process is:
- Diagnosis — We inspect the device, trace the fault, and prepare a diagnosis report. For complex devices, a diagnosis fee applies (from KSh 800).
- Estimate — We provide you with an estimate of the repair cost and expected turnaround time before any repair work begins. Estimates are based on the diagnosed fault; if additional faults are found during repair, we will contact you.
- Approval — You must approve the estimate verbally or in writing before we proceed. We will not begin chargeable repair work without your authorisation.
- Repair — We carry out the agreed repair using appropriate parts and techniques.
- Testing — All repaired devices are bench-tested or vehicle-tested before notification.
- Notification — We will call or text you when the repair is complete and ready for collection.
If you decline to proceed with a repair after diagnosis, a diagnosis fee is payable before collection of the device.
Pricing and Payment
All prices quoted are in Kenya Shillings (KSh) and include labour and standard workshop materials unless otherwise stated. The cost of replacement parts is billed separately and confirmed before parts are ordered.
Payment methods accepted
- Cash (KSh) — accepted at the workshop counter
- M-Pesa — till number or paybill displayed at the counter
We do not currently accept card payments, cheques, or credit terms for individual repair customers.
When payment is due
Full payment is due at the time of collection. We do not release repaired devices until payment has been received in full. For high-value repairs or where parts must be specially ordered, we may request a deposit of up to 50% before commencing work.
Price changes
If the actual repair cost differs from the original estimate (due to additional faults discovered during repair, or price changes in parts), we will contact you before proceeding and provide a revised estimate for your approval.
Turnaround Times
We always aim to complete repairs as quickly as possible. Indicative turnaround times for common repairs are:
| Device / Service | Typical Turnaround |
|---|---|
| GPS tracker diagnosis and repair | 1–3 hours (same day) |
| Vehicle sound system repair | Same day to 24 hours |
| Speed governor fault diagnosis | Same day |
| Speed governor repair | Same day to 48 hours |
| Electronic board repair | 1–3 working days |
| Vehicle machine and control repair | 1–2 working days |
| Special parts order required | Notified separately — varies by part |
These are estimates, not guarantees. Turnaround times may be affected by parts availability, workshop volume, or complexity of the fault. We will keep you informed by phone or SMS if a delay is expected.
Device Collection
We will contact you by phone or SMS when your repair is ready. Once you receive this notification:
- Please collect your device within 14 calendar days of the notification.
- Bring your original intake receipt and a valid ID for collection.
- Full payment is due before the device is released.
- You or an authorised representative may collect on your behalf. The representative must bring the receipt and your written authorisation.
After collection, please inspect your device in our presence. We will note any concerns you raise at that time. We may not be able to address claims of damage raised after you have left the premises.
Abandoned Devices
This is an important section. Please read it carefully before leaving a device with us.
We operate from a small workshop and cannot store uncollected devices indefinitely. The following storage and abandonment policy applies:
14 – 30 days after notification
We will make reasonable efforts to contact you (calls and SMS). Storage is free during this period.
30 – 60 days after notification
A storage charge of KSh 100 per day may be applied to your outstanding bill. We will attempt further contact.
Beyond 60 days without contact
If we are unable to reach you and the device has not been collected within 60 days of our notification, the device may be treated as abandoned. Abandoned devices become the property of Vintech Engineering Solutions and may be disposed of or used for parts to recover outstanding charges. We will take reasonable steps to contact you before this point.
Warranty on Repairs
We stand behind our work. All completed repairs carry a 30-day limited warranty from the date of collection, covering the specific fault that was repaired.
What the warranty covers
- The same fault recurs due to a workmanship issue
- A replacement part we installed fails within 30 days under normal use
What the warranty does not cover
- New or unrelated faults that develop after collection
- Damage caused by accident, water ingress, fire, or misuse after collection
- Damage caused by unauthorised repair attempts after collection
- Normal wear and tear
- Pre-existing conditions not related to the repaired fault
- Devices where the seal or label applied after repair has been broken
To claim under warranty, return the device to our Ngara workshop with your receipt within the 30-day period. We will inspect it and re-repair the covered fault at no additional charge.
Limitation of Liability
This section limits our legal responsibility. Please read it carefully.
Our liability to you for any claim arising from a repair or service is limited to:
- The total amount you paid for the specific repair in question, or
- Re-performance of the repair at no cost to you if the fault is covered by warranty.
We are not liable for any indirect, consequential, or incidental loss including but not limited to:
- Loss of revenue or business arising from a vehicle being off the road during or after repair
- NTSA fines or penalties related to device condition
- Loss of GPS tracking data or fleet records
- Damage to a vehicle arising from a pre-existing fault not related to our repair
- Loss of use of a vehicle, device, or ancillary equipment
Nothing in these terms limits our liability for death or personal injury caused by our negligence, or any liability that cannot be excluded by Kenyan law.
Data and Content on Devices
Important: We strongly recommend backing up all data on any device before dropping it off for repair. While we take care with all devices, some repair procedures may result in loss of stored data, settings, or configuration.
Vintech Engineering Solutions is not responsible for the loss of any data, settings, configuration files, or stored information on devices left for repair. This includes but is not limited to:
- GPS tracker configuration data, route history, or fleet platform credentials
- Speed governor calibration settings (we will re-calibrate where this is part of the service)
- Head unit favourites, radio presets, or paired device records
- Any access codes, passwords, or PINs stored on the device
If you provide access codes or passwords to allow us to test or configure a device, we will use them solely for that purpose and will not record or retain them after the repair is complete.
Changes to These Terms
We may update these Terms of Service at any time. Updated terms are effective immediately upon posting on our website. The version in force at the time you drop off your device applies to that repair.
We recommend checking this page periodically. The “Last updated” date at the top always reflects the current version.
Governing Law
These Terms of Service are governed by and construed in accordance with the laws of Kenya. Any disputes arising from these terms or our services shall first be referred to negotiation. If unresolved, disputes shall be subject to the jurisdiction of the courts of Kenya.
